This is a behind-the-scenes position for someone who enjoys creating order, maintaining systems, and ensuring nothing falls through the cracks — so the company always shows up polished, prepared, and professional.
 

This is a long-term role. We are not looking for a stepping stone.


 

Core Responsibilities

 

Operations & Systems (Foundation of the Role)

  • Maintain and track recurring renewals and deadlines (insurance, mortgages, licenses, subscriptions, contracts, etc.)
  • Ensure systems are organized, current, and functioning as intended
  • Maintain and update spreadsheets with accuracy and consistency
  • Monitor workflows to ensure tasks are completed on time and correctly
  • Anticipate issues before they become problems
     

Marketing & Listing Support

  • Oversee marketing steps for listings to ensure nothing is missed
  • Track timelines and deliverables (photos, marketing materials, postings)
  • Coordinate and set up open houses
  • Ensure marketing processes are followed consistently and professionally
     

Client Experience & Presentation

  • Prepare thoughtful client gifts and baskets
  • Ensure the company presents exceptionally well to clients at all times
  • Support client-facing moments with care, polish, and attention to detail
  • Be mindful of brand, tone, and reputation in everything you touch

 

Executive Support

  • Provide reliable, day-to-day support to the broker/owner
  • Manage details so leadership can focus on high-level priorities
  • Be a trusted point of continuity and institutional memory
  • Keep things running calmly even during busy periods
