Clio Specialist
About the Firm
HV Legal, LLC is a solo-owned law firm in Northeast Ohio with a broad practice spanning estate planning and probate, real estate, landlord-tenant, business law, civil litigation, family law, and nonprofit/organizational matters. We've already invested heavily in Clio and built out substantial workflows — now we're looking for an expert to help us finish the job and get every feature, automation, and integration running the way it should.
The Role
We need a Clio specialist to take our existing Clio Grow and Clio Manage setup from "mostly there" to fully optimized. Much of the foundation is built; your job is to complete the configuration, close the gaps, connect the integrations, and make sure the automations actually save us time. You'll work directly with the firm owner to understand our practice areas and translate them into clean, reliable systems.
This is ideal for someone who genuinely knows Clio inside and out — not just the basics, but the automation logic, the integration quirks, and the workflow design that makes a small firm run efficiently.
If you're strong on legal-tech setup but haven't touched every corner of Clio, that's okay: Clio publishes extensive training videos and documentation (through the Clio Academy / Help Center), and you're welcome to use those resources to get up to speed on specific features before implementing them. What matters is that you can learn quickly, build reliably, and get the system working correctly.
What You'll Do
Clio Manage (practice management)
- Review and complete custom field setup across all practice areas
- Build and refine matter templates and matter stages
- Configure document automation and document templates (engagement letters, intake documents, standard forms)
- Set up task templates, workflows, and automated task assignment
- Configure billing, trust accounting, activity categories, rate settings, and payment plans
- Set up Clio Payments and any billing automations
Clio Grow (intake & CRM)
- Complete intake form configuration for each practice area
- Build and optimize intake pipelines and automated pipeline stages
- Configure automated emails, follow-ups, and appointment scheduling
- Ensure a clean handoff from Grow to Manage (lead → matter conversion)
Integrations & automations
- Connect and configure email and calendar sync
- Set up e-signature workflows
- Integrate accounting (e.g., QuickBooks) if applicable
- Configure court rules / deadline automation where available
- Connect any relevant third-party tools and Clio App integrations
- Build cross-tool automations so data flows without manual re-entry
Wrap-up
- Test everything end-to-end
- Document the setup so the firm can maintain and extend it
- Provide a short training/walkthrough for the owner
What We're Looking For
- Demonstrated, hands-on Clio expertise — you've configured Clio Manage and Clio Grow for real firms, not just used them
- Strong understanding of Clio automations, workflows, and document automation
- Experience connecting Clio to common integrations (email, calendar, e-signature, accounting, payments)
- Ability to translate a firm's practice areas and processes into practical system design
- Clear communication and reliable, self-directed work
- Willingness to use Clio's own training videos and documentation to learn any features you're less familiar with before building them out
- Bonus: familiarity with small-firm or solo practice operations, and with Ohio legal workflows
Clio Certified Consultant status or comparable credentials are a plus but not required if you can show equivalent experience.
