Position Overview

We are seeking an experienced and commercially perceptive Executive Assistant to the Chairman to support executive priorities, strategic initiatives, important relationships, and high-level business communication within an international trade and supply-chain organization. This is not a traditional calendar-only administrative role. The ideal candidate understands people, business relationships, organizational dynamics, and commercial priorities, and can help the Chairman allocate time and attention effectively.

Key Responsibilities

• Manage the Chairman's calendar based on business value, urgency, relationship relevance, and strategic priorities.

• Evaluate and prioritize meeting requests and prepare background materials on attendees, companies, and potential objectives.

• Summarize complex information and identify key decisions, risks, inconsistencies, and missing information.

• Attend selected meetings, document decisions, and ensure follow-up actions are completed.

• Track strategic projects and communicate with responsible stakeholders on behalf of the Chairman.

• Draft executive correspondence, presentations, reports, briefing materials, and meeting notes.

• Coordinate domestic and international travel, including detailed itineraries and contingency planning.

• Maintain accurate records of key relationships, conversations, commitments, and follow-up history.

• Assess stakeholder relevance, meeting objectives, relationship history, and potential business impact.

• Support cross-functional initiatives involving purchasing, finance, compliance, logistics, warehouse, sales, and operations.

• Handle highly confidential business, financial, personnel, and relationship information with exceptional discretion.

Qualifications

• Bachelor's degree in International Trade, Business Administration, Law, Economics, Finance, Supply Chain Management, Communications, or a related field.

• 3+ years of experience supporting a chairman, founder, CEO, senior executive, investor, family office, or business owner is strongly preferred.

• Experience in international trade, supply chain, import/export, logistics, manufacturing, wholesale distribution, or cross-border business is preferred.

• Candidates from another industry may be considered if they demonstrate strong executive-support experience, mature commercial judgment, and the ability to learn the business quickly.

• Strong understanding of stakeholder motivations, executive priorities, organizational dynamics, and business relationships.

• Excellent writing, communication, discretion, emotional intelligence, judgment, organization, and follow-through.

• Mandarin-English bilingual proficiency is strongly preferred.

• Willingness to travel and work outside standard business hours when important matters require it.

Technology & AI Readiness

Strong proficiency with digital productivity, research, presentation, project-management, calendar, and contact-management tools is required. The ability to use approved AI tools for research, briefing preparation, meeting summaries, and information synthesis is strongly preferred. Exceptional discretion and careful verification of AI-assisted work are essential.

Employees are expected to use modern business software and approved digital tools effectively.

AI-assisted work must be independently reviewed for accuracy, confidentiality, and compliance.

Confidential company, customer, supplier, pricing, contract, financial, shipment, employee, or personal information must not be entered into public or unapproved AI tools.
