Executive Assistant to the CEO
Position Overview
The Executive Assistant will support the CEO by managing day-to-day administrative tasks, organizing executive schedules, and serving as a liaison between the executive and various internal and external stakeholders. The ideal candidate will be proactive, detail-oriented, and highly organized with strong communication skills and the ability to manage multiple priorities in a fast-paced environment.
- This is a full-time position that will require on-site work 5 days per week
Key Responsibilities:
Direct Support of the Chief Executive Officer
- Manage the CEO’s calendar, including scheduling internal and external meetings, appointments, and travel arrangements.
- Ensure the CEO is fully prepared for meetings with relevant materials, notes, and briefings.
- Produce meeting minutes for all meetings and distribute them to participants
- Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the CEO's behalf
- Handle travel-related expenses and reimbursements.
- Assist with special projects as requested by the CEO.
- Conduct research, prepare reports, and provide recommendations.
- Act as the primary point of contact between the executive and internal/external stakeholders.
- Manage phone calls, emails, and correspondence, ensuring timely and appropriate responses.
- Draft and proofread emails, presentations, and reports for the CEO.
- Follow up on action items and ensure timely execution of key initiatives.
- Prepare necessary documentation and presentations for meetings.
- Track and manage the CEO’s expenses, including submitting expense reports and maintaining budgets.
Skills/Qualifications:
- Education: Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
- Experience: Minimum of 2 years of experience as an executive assistant or in a senior administrative role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools; familiarity with project management software is a plus.
- Communication Skills: Excellent written and verbal communication skills.
- Organization: Strong organizational skills with the ability to prioritize and manage multiple tasks effectively.
- Problem-Solving: Ability to anticipate needs, resolve issues independently, and make decisions in the executive’s best interest.
- Confidentiality: Proven track record of maintaining confidentiality and exercising discretion.
- Adaptability: Ability to adapt to changing priorities and manage demanding situations.
- Attention to Detail: High attention to detail in every aspect of the role.
Compensation:
- Starting at $50,000 and up
- Negotiable based on education and experience
