Intake and Client Relations Assistant

Job Summary:

As an Intake Specialist / Client Relationship Assistant you will be the first point of contact for all clients, potential new clients, and visitors. In this position, you will serve as the face and voice of the firm. The ideal candidate will be poised, professional, warm, and empathetic, with strong verbal and written communication skills. In addition, we are seeking a candidate that is a fast learner, organized, and a self-motivated team player.


Key Responsibilities:

  1. Client Interaction and Communication:
  • Welcome and direct visitors
  • Create a positive and professional first impression for our firm
  • Manage multi-line phone system
  • Communicate with potential new clients and current clients orally or by email
  • Convert calls to scheduled consultation through improved engagement and persuasive communication skills
  • Ensure all questionnaires are completed prior to consultation
  • Answer preliminary questions regarding the attorneys’ qualifications and services offered
  • Manage client satisfaction responses

          2. Office Duties:

  • Maintain the office master calendar
  • Keep referral and vendor lists up to date
  • Maintain physical and electronic files
  • Log all calls and client interactions in our CRM system
  • Oversee the onboarding process for new clients
  • Prepare meeting packets, create invoices, process payments
  • Gather and organize documents and intake forms
  • Manage mail distribution and flow of correspondence
  • Schedule, organize, and upkeep conference room
  • Additional clerical duties as assigned

Essential Skills:

  • Required 
    • Must have excellent phone etiquette
    • Must be reliable and punctual
    • Must be honest and of the highest integrity
    • Must be able to keep information confidential
    • Must be comfortable with computers and digital systems
  • Desired
    • Strong organizational skills
    • Ability to multi-task
    • Work well in a collaborative team environment
    • Bi-lingual (English/Spanish) is a plus, but not required
    • Law firm experience preferred, not required

Salary and Benefits:

  • Starting at $18-$20 per hour, based on experience
  • Quarterly bonuses, based on accomplishing personal and team goals
